2. Information you provide

When you contact us, we receive the details you enter, such as your name, email address, country, tour interests and message. If you subscribe to our newsletter, we collect your email address, name, preferred language and your marketing consent. Reservation-related details depend on the journey and the information needed to handle your request.

Required fields are identified on each form. Without the essential contact details, we may be unable to respond or process a subscription. Please do not include passport, payment-card, medical or other sensitive information in a general enquiry or newsletter form.

3. How and why we use your information

  • Enquiries and journey planning: to answer your questions and take steps at your request before a possible booking.
  • Bookings: to handle the arrangements you request and fulfil the resulting contract, where applicable.
  • Newsletters and tour updates: only when you choose to receive them. This processing is based on your consent; making an enquiry does not by itself subscribe you.
  • Security and administration: our legitimate interest in protecting the website and handling misuse, with consideration for your rights.
  • Legal requirements: to retain or disclose information where a legal obligation applies.

4. Newsletter and Brevo

We use Brevo to manage newsletter contacts and mailing lists. Newsletter details, language preferences and marketing consent are sent to Brevo for this purpose. Subscription is voluntary and is separate from making a booking.

You can withdraw consent at any time using the unsubscribe link in our marketing emails or by emailing info@icemonkeytours.com. Withdrawal does not affect processing that took place before it. We may retain a limited suppression record to respect an unsubscribe request.

5. Service providers and recipients

Information is accessible to the people who need it to handle your request and to service providers supporting the website, hosting, email delivery, translation, security and subscription management. This includes Brevo for the newsletter, Weglot for website translation and Google reCAPTCHA on forms where it is enabled. We use Webempresa infrastructure for website hosting and caching.

If you contact us through WhatsApp or follow an external service link, that service also processes information under its own privacy terms. Any payment provider used for a booking is identified during the relevant payment process. Information may also be disclosed where required by law.

6. International processing

Some providers may process information outside your country, including outside the European Economic Area. Where European data-protection rules apply, such transfers require an applicable legal mechanism, such as an adequacy decision or appropriate contractual safeguards. You can contact us to request information about the providers and safeguards relevant to your data.

7. How long information is kept

  • Enquiries: for as long as needed to respond and handle follow-up, then only where needed for an applicable legal obligation or claim.
  • Bookings: for the arrangements and the applicable contractual, accounting, tax and claims periods.
  • Marketing: until consent is withdrawn or the contact is otherwise removed, subject to any limited record needed to demonstrate consent or honour an unsubscribe request.
  • Security records: for the time needed to investigate incidents and protect the service.
